You’ve Been Presenting PowerPoint Wrong…

Chances are you’ve been presenting PowerPoints wrong in Microsoft Teams. In Teams, you likely click on the share screen icon and then you share your screen. Then you open up PowerPoint. And technically this works, but you can make it so much better, not only for you, but also for your audience. Let’s find out how. Here I am now in an active Microsoft Teams meeting. So how do we present better? Well, let’s go to the top right-hand corner and click on the share icon, and we have all of these different options here. If we look down this list, there’s an option for PowerPoint Live, and this is what will give us a far superior experience. Right here, you see some of your recent slide presentations. You can choose one of those, but if you don’t see the slide presentation that you’re looking for, down at the bottom, you can also browse OneDrive or you could browse your PC. An even easier way to get to this is you could simply open up your PowerPoint presentation while you’re in a Teams meeting, and in the top right-hand corner, there’s a button that says present in Teams. To be able to see this button, you just have to make sure that your presentation is saved in either OneDrive or in SharePoint. Let’s click on this button. This now drops me into Microsoft Teams, and look at that, it looks like Adele and Patti are already here. Like I’ve always said, we attract the best and brightest here at the Kevin Cookie Company. Right up on top, it tells me that I’m about to present. Let’s click on present. This now drops us into PowerPoint Live, and we’re going to use this experience to make an amazing presentation. Now you might already notice that some things are different here. Right over here, I can see the current slide that all of my audience can see, and the really good thing is this is all my audience will see. They won’t see any windows that I happen to have open on my desktop. They won’t see any notifications pop up. This is the currently active view. Down below, I can navigate through my slides. So here I could go forward, here I could go back. If I click on this icon, I can jump into a grid view. I could also press the shortcut key G, and this way I can very quickly jump throughout my slides. And here down below, I can also click on my slides to navigate around. To the right of the currently active slide, I also see all of the different notes that are associated with the currently active slide. This way I can stay on track and on point with what I want to say on this slide, and it looks like that on this slide, I don’t want to spend too much time here. Over on the right-hand side, I can also see a live video feed of all of my attendees. So here I could see Adele and I could also see Patti. So, I can see how they’re reacting as I present. It looks like they have a pretty straight face. I can’t quite read the audience. One of the nice things about using this view too, is you have everything in one place. Up on top, I have all of my different Teams controls. So here I can click into chat and this way I can stay on top of the conversation as it’s occurring and as I’m presenting. Here, I’ll toggle off the chat. One thing that I love about PowerPoint Live and presenting this way is under the slide, you get access to all of these rich annotation tools. Here I have a laser pointer and on this slide, we’re going to talk about customer feedback at the Kevin Cookie Company. Here I have a highlighter and we’re going to focus on the third piece of feedback. How delicious our cookies are. Maybe I’ll select the red pen and here, maybe I’ll scribble out this other feedback. So, people don’t quite notice what that is. Down below, let’s now jump forward to the fifth slide or the message from the CEO. And look at that. I have incorporated my video feed directly into the slide. This is using something called Cameo and in PowerPoint, you can design your slide with a slot for a video. If you want to learn all about how to do this, be sure to check out the video right up above in the top right-hand corner. PowerPoint Live supports doing this on your slides. Let’s now shift and see what this looks like from an audience member’s perspective. Here we are now in Patti’s view, and you’ll notice that the slide that I’m currently sharing takes up most of the real estate. So, this is the center of focus, but Patty still has some control. Down in the bottom left-hand corner, she can navigate throughout the slides. Maybe she wants to look back or if she wants to look forward in the presentation, as long as me as the presenter allows that. Right over here, let’s say that she’s looking around the presentation and she then wants to catch up with the group. Here, she could sync back to the presenter and we’re now all on the same slide. Over here, Patti can also open up the grid view and she could see all of the different slides in the presentation. And here I’ll close out. To the right of that, there is some awesome functionality. When you click on the three dots, here let’s say that Patti, my audience member wants to zoom in. She could do that. Over here, she could turn on a high contrast mode. Maybe that makes it a little bit easier to comprehend this slide. And one of the coolest features, right over here, she can translate the slide into whatever her native language may be. So here, let’s switch it into Spanish. And here it takes all of the contents of the slide and it translates it. The one thing you need to be aware of though, is that you give enough space for some languages that may be longer. Here to switch back, I’ll go to translate slides and I’ll go back to the original. One nice thing too about PowerPoint Live is you can incorporate links into your slides and then you can click on those links. That’s a really nice feature. Right up above, let’s say that now Patti needs to present on some topic. Maybe she’s speaking to our path to profitability. She can go right up on top and take control of this presentation. And when she clicks on that, this now drops her in PowerPoint Live in the presenter mode and she can now take over the presentation. And then if I want to take it back over, I then have to take control. All right. Well, at least for me personally, I think this is by far the best way to present a PowerPoint in Microsoft Teams.
